AVSRDF Delegate Minutes: September 9, 2012

The AVSRD Delegate meeting was held at the Summit Senior Center with 14 members present.

Secretary- Pat Loutzenhiser                Treasurer- Ruth Stiles

The meeting was called to order at 2:00pm.  The minutes of the March 11, 2012 meeting were read and approved by John Seepe and Dick McCall seconded.

The treasurer's report by Ruth Stiles was given.  There is a balance of $4,261. 81 as of September 1, 2012.  Ruth said that a new account EIN is now with North West with our own account number.
Tom Mohney asked if it was an interest bearing account. There are no interest-bearing accounts any longer.
The Zeigler’s, winners at the Federation Dance have not cashed the check yet. When informed, a new check will be written out of the new account.  There is more than six months allowed before to close the accounts.  The motion was made by Bert Seepe and seconded by Dick McCall.  Tom Mohney asked if there were any outstanding bills.
A motion to donate to the Sr. Center was raised by Rich Loutzenhiser and seconded by Nels Frick.
$25.00 was donated to the building for the meetings.
There is nothing about the insurance yet.  Ruth will send out letters to find out about how many people there are in the clubs.  The Federation; will pay for all of the clubs' insurance.
Ann Taub asked about the Newsletters and the Directories.  The cost is the same this year too.
Nels Frick made the motion and John Sechriest seconded.
Tom Mohney asked about the types of ads that were taken out for the convention.  Ruth said the a ¼ page ad was taken out in memory of Frank Schreiber in thank you.
Tom asked about anything in March.  June is the cut-off and a ½ page is the difference between $20.00 and / or $35.00 for a full page.

Caller Lab- Tom Mohney said the Tim Mariner suggested dancing at National and State Parks for the campers at club houses etc. to show case the activity.
Betsy Gotta received an award for calling 50 years at all of the conventions. 

Tony Rosell Sr. VP gave ideas for fix organizations with declining memberships.
Awareness- Identify prospects for membership.
Recruitment- Convince prospects to try the product.
Engagement- New members must feel that they belong.
Renewal - Go beyond one contact with frequent approaches.
Reinstatement - Never give up, get former members back.
The Callerlab policy remains the same.
The 40th National Convention is in Raleigh, NC on March 25-27, 2013.
Round a lab- See Nathan Parrot for Round dance lessons to be held on Thursdays in Sharon, PA at the Methodist Church.  Round a lab meetings are always before the National Convention.
The National Convention is in Oklahoma for 2013.  Flyers will be available.

Club Reports

Castle Paws and Taws - Mary Ruth McCall stated that there were no new dancers at the Fun Night,
Wednesday, September 5, 2012.  There will be a demonstration in Volant, PA, Saturday, September 15, 2012 in hopes of getting some new people.  The next big dance is the Black Light Dance with Tom
Circle 8 - Fun Night is tonight, 9/9/12 and 9/16/12 and they are hoping for better results this year. Don Yosten will be the instructor.
Fiddle-a-Rounds-  The club goes with two meetings a year schedule.  The picnic was in July with a good turnout.  The Christmas Dance at Foxburg with dinner and dancing is Thursday, December 13,
Presque Isle - PID's followed their normal schedule of dancing every other week from June through August, and following every week from September on through the summer of 1-3 squares.  We will continue until we run out of money which is expected to be sometime between the end of September and end of October.. We may know more after our general membership meeting this coming Tuesday.
We had a good picnic in August. The club needs young people for lessons.
Shenango Valley Sashayers - Nels Frick stated that the club is rolling along with two free Fun Nights, Monday, September 10th and 17th with Drew Loutzenhiser.  They average five squares. The club decided to do away with Round Dancing at this time possible returning in a few years. Loss of members
John Wine and Garland Stoneman were noted.  The picnic was good and the Christmas Dinner/Dance with Drew Loutzenhiser will be held Monday, December 3, 2012.  Another New Year's Dance will be held Monday, December 31, 2012 from 9-midnight at the First United Methodist Church in Greenville, PA and will be sponsored by the Sashayers.  All are asked to bring a dozen cookies. Flyers will be passed out.

Old Business

John Simchick controls the web. John was recognized at the State Level Meeting with a plaque and thanks for his loyalty. Now Eric Anderson is the state's webmaster.
The PA Convention was held August 10, 11, and 12, 2012. Tom Mohney noted were 32 callers in
Pittsburgh.  The programs were many and in hourly blocks.  There were singing calls, Handicapable dancing, Advanced tips, Dangle Dances, Community Dances etc. that all went well.  Brad Deibert presented a program on technology progress.  Fifty people were at the breakfast. Next PA
Convention will be August 9, 10, and 11, 2013.  There were 415 people at the Convention.
The Keystone Awards were given to:
Carter and Ruby Ackerman for both Square and Round Dancing
Joe Nardi and Helen Naimark were honored from Monroeville, PA.
Tom Mohney began dancing in 1966 and started calling in 1972.
A hand was given for Tom and his accomplishments in Square Dancing.  They all met six out of ten criteria.  They received plaques.
The break was at 2:38pm.
The meeting resumed at 2:55pm.

New Business

Dan Prosser from Harrisburg, PA is a good person in charge next year. (2013)
Pat Loutzenhiser asked about the 2013 Convention with Gary Shoemake, Tom Miller, and Bill Harrison who were hired.  Tom Mohney explained a different approach at the Convention.  The
Trails-In Dance on Thursday, August 8, 2013 is self-sustained. The Saturday block will showcase callers that other conventions say is a good idea.  Better attendance is a hope for the changed format.
There are no camping facilities at the hotel. People need to find their own spots.  The Chairman will be compensated because of time spent.  The Convention is at the Penn Harris Radisson Hotel in Camp
Hill, PA.  The committees were criticized because of the different dates in August lately.  They were asked to stick to the second weekend in August.
Ruth Stiles said that the State Meeting is Sunday, October 7, 2012 at Camp Hill, PA,
The next AVSRDF meeting is Sunday, March 10, 2013 at 2:00pm at the Waterford, PA Sr. Center.

Tom Mohney announced that there will be an Open House at Tom's house for Elmer's 100th birthday.
It will be on Friday, June 13, 2013 from 6-9:00pm. Flyers will be passed out.
Ann Taub asked about the Newsletters and the Directories. The price is the same.  Tom Mohney asked if a minimum number are needed to be printed. How many books?  Castle 6, Circle 6, Fiddle 2,
Presque Isle ?, Shenango 10.
A motion was made by Nels Frick and seconded by John Sechriest to have the Federation pay for the clubs' insurance.  Motion carried.
The meeting adjourned at 3:07pm. Motion by John Seepe and seconded by Dick McCall.
